Customer Guide
This guide is for companies (counterparties) that register with JEROS A/S through the JEROS Compliance Portal. It explains how to create an account, how to fill in the onboarding form, which documents we need and why, and what happens after you submit.
JEROS is required by its financial institutions and by EU and Danish rules on anti-money laundering (AML), counter-terrorism financing and sanctions to verify every business partner before a commercial relationship is established or continued. The process should be completed within 14 days. Filling in the form usually takes 15–20 minutes, and you can save your progress and return later.
1. Before you begin
Please have the following ready:
- Certificate of Incorporation or an official business registry transcript
- Identity details for your directors and owners (full name, date of birth, nationality, residential address) and a copy of a valid photo ID (passport or ID card) for each of them
- A corporate structure chart showing the ownership chain to all Ultimate Beneficial Owners (UBOs), if you have one
- Shareholder register or UBO declaration
- Your D-U-N-S number (if available)
- Information about where our goods will be delivered or resold, and what they will be used for
Documents can be uploaded as PDF or as images (JPG, PNG, GIF, WEBP, BMP, TIFF), up to 10 MB per file.
2. Create an account and sign in
If JEROS has sent you an invitation: open the link in the e-mail. Your e-mail address, company name and country are already filled in — choose a passcode of at least 6 characters, click Create account and start, and you go straight to the onboarding form. The link is personal and valid for 30 days; if it has expired, ask your JEROS contact for a new one.
Without an invitation:
- 1Open the portal and click Register (or Start Registration).
- 2Enter your Email, a Passcode of at least 6 characters, and Confirm Passcode, then click Create Account.
- 3We send you an e-mail with a confirmation link. Open it and click Confirm email and continue. The link is valid for 24 hours and works once; if you cannot find the e-mail, check your spam or junk folder, or register again to get a new link.
- 4Your account is created and you are taken to the onboarding form.
If the address already has an account, you receive an e-mail saying so instead — sign in with your existing passcode. Email addresses are not case-sensitive.
To come back later, click Sign In and use your email and passcode. After signing in you see your dashboard with the status of your submission.
Use a company email address that you will keep access to — JEROS uses the account to identify your company. Keep your passcode confidential.
3. The onboarding form, step by step
The form has six steps. Your answers are saved when you click Next. You can leave at any time with Save & Continue Later and pick up where you left off from the dashboard (Continue Registration). Fields marked with a red * are required.
Step 1 — Company Information
Your company's legal details: Company Name, Company Name 2, Address, Address 2, City, Zip Code, State / Region, Country, Phone, Email, VAT No., DUNS No. and GLN / EAN.
Step 2 — Addresses
- Billing Address (required). Click Same as Company Info to copy your company address.
- Delivery Addresses. Add one or more with Add Delivery Address; remove one with Remove.
Each address has Name, Name 2, Address, Address 2, City, Zip Code, State / Region and Country.
Step 3 — Contact Details
Your main contact person: First Name, Last Name, Position, Phone, Email, plus a Billing Email and a Finance Email (can be shared mailboxes) and, optionally, your preferred Delivery Terms.
Step 4 — Export & End-use
Here you tell us how our goods will be used and where they will go (agreement art. 2A):
- Customer type — End-user (you use the goods yourselves), Reseller or distributor, or Both.
- Countries of delivery / resale — every country the goods will be delivered to or resold in. Add as many as needed.
- Intended end-use of goods — a short description, e.g. “Industrial dishwashing in our own food production facilities”.
- Re-export confirmations — a checkbox you must tick yourself confirming that you will not sell, export or re-export goods supplied by JEROS to or for use in the countries named in the agreement (currently the Russian Federation and the Republic of Belarus), and that you will pass this restriction on to your own customers. If you are a Reseller or distributor (or Both), there is a second confirmation about passing the restriction down the commercial chain.
See Export & End-use and re-export obligations for what these confirmations mean in practice.
Step 5 — Directors, Owners, UBOs & Documents
Persons. Click Add Person for each director, owner, Ultimate Beneficial Owner (UBO), C-level executive or decision maker. For each person enter Full Name and Role, and — so that we can verify their identity — Date of Birth, Nationality, Ownership % (for owners and UBOs), Phone / Email and Residential Address. Under Identity Documents choose the Document Type (ID Document, Passport or Other), select the file and click Upload.
At least one person is required. If no natural person directly or indirectly owns or controls more than 25 % of your company, tick the box that says so (only if no UBO is listed).
Company Documents. Choose the Document Type — Certificate of Incorporation, Shareholder Register, UBO Declaration, Structure Chart, Compliance Declaration or Other — select the file and click Upload Document. At least one document must be uploaded. You can preview uploaded files by clicking them.
Step 6 — AML Agreement & Declaration
- Section A — AML Due Diligence Agreement. Read the Agreement on Provision of Due Diligence Documentation between JEROS A/S and your company. The version number and a SHA-256 control code of the text are shown below it. Tick the box to confirm you have read and accept it.
- Section B — Compliance Declaration & Signature. Read the declaration, enter the Signatory Name and Position / Title of the person signing, and tick the box confirming that this person has legal authority to bind the company and that the information is true, accurate and complete.
Click Submit Application. If anything is missing, the portal lists what to fix before you can submit.
4. Which documents are required, and why
The agreement (art. 2.1) lists the documentation JEROS needs. Before your registration can be approved, JEROS checks each of these points:
- Company registrationAgreement art. 2.1(a)
A valid Certificate of Incorporation or an equivalent official registry transcript.
- Identity of directors and ownersAgreement art. 2.1(b)
For every director, owner and UBO: full name, date of birth, nationality and a copy of a valid photo ID (passport or ID card).
- Ownership structureAgreement art. 2.1(c)
At least one owner/UBO with ownership share, or a Structure Chart, or your confirmation that no person owns or controls more than 25 %.
- Compliance declarationAgreement art. 2.1(d)
Your signed declaration in step 6.
- D-U-N-S numberAgreement art. 2.1(e)
Your D-U-N-S number, or permission for JEROS to obtain it (EUR 250).
- Export & End-useAgreement art. 2A
Step 4 completed, including the re-export confirmation(s).
- Additional documentsAgreement art. 2.1(f)
Anything else JEROS may reasonably request to meet its AML and sanctions obligations.
If something is missing after you submit, JEROS will ask you for it (status Awaiting documents, see below).
5. Export & End-use and re-export obligations
By accepting the agreement you undertake (art. 2A and art. 7) that:
- you will not sell, export or re-export goods supplied by JEROS, directly or indirectly, to the countries named in the agreement, or for use in those countries (currently the Russian Federation and the Republic of Belarus);
- you will not sell or transfer the goods to anyone who is subject to sanctions under the EU, UN or OFAC lists, or who is owned or controlled by such a person or entity;
- you will use your best efforts to make sure that your own customers and resellers further down the chain do not undermine these restrictions, and keep an adequate way of monitoring this;
- you will tell JEROS immediately if you run into problems applying these rules, and, on request, give JEROS information on the end-user and end-use of the goods within two weeks.
A breach of these obligations is a material breach of the agreement. The agreement describes the consequences, including termination and a contractual penalty (art. 2A.5). Please read the full agreement text in step 6. This guide is a summary only and is not legal advice; the agreement text prevails.
You must also notify JEROS of material changes to the information you provided — for example changes in ownership, management or sanctions status — within 14 days (art. 2.2).

7. Responding to corrections or document requests
- 1Sign in and read the message from JEROS on your dashboard.
- 2Click Edit Submission (corrections) or Upload documents (documents). The form opens with your earlier answers.
- 3Go to the relevant step, make the changes or upload the requested files, and click Next to save.
- 4On the last step, review the agreement and declaration again and click Submit Application.
Your registration then returns to JEROS for review. You receive an e-mail when JEROS has decided; you can also follow the status on your dashboard, or contact JEROS if you are unsure.
8. Accepting a new version of the agreement
When JEROS publishes a new version of the agreement (for example with new re-export restrictions), existing customers see the status Pending re-acceptance and the message Action required: updated agreement on the dashboard.
- 1Click Review & accept. Your existing approval remains on record.
- 2Complete the short Export & End-use step (step 1 of 2).
- 3Read the updated agreement, fill in the signatory, tick the boxes, and click Accept Updated Agreement.
In most cases your status returns to Approved straight away. Sometimes JEROS needs to look at the updated information first; the status is then Pending review until JEROS has finished.
9. Answering a request for information from JEROS
Under Article 2A.4 of the agreement, JEROS may ask you for information on how you comply with your obligations under the agreement — in particular the end-user and end-use of the goods and the no-re-export obligation. You must make the information available within two weeks of the request. Not answering is a material breach of the agreement (Article 2A.5).
When JEROS sends a request, you receive an e-mail and your dashboard shows Information requested by JEROS — due <date> with JEROS's message and, if given, a reference (for example an order or invoice number).
- 1Sign in and read the message on your dashboard.
- 2Write your answer in Your answer (for example the end-user's name, address and country, what the goods are used for, and your confirmation that they have not been re-exported to a restricted country).
- 3Optionally attach supporting documents (PDF or image, max 10 MB each), such as an end-user statement or delivery documents.
- 4Click Send answer.
The request then shows Answer sent <date> under Earlier requests from JEROS. Files you send with an answer are kept with the answer and cannot be removed. You receive a reminder three days before the deadline and another one if the deadline has passed; you can still answer after the deadline, but please do so as soon as possible.
10. Annual confirmation of your details
JEROS may ask you once a year to confirm that your registration is still correct. You receive an e-mail and your dashboard shows Please confirm your registration details — due <date> with a summary of your current details: company name and address, VAT number, directors and owners (with ownership), customer type and delivery countries.
- Nothing has changed: tick the confirmation box and click All information is still correct. That is all — JEROS records your confirmation (date, time, IP address and browser), and no further action is needed.
- Something has changed (for example new owners or directors, a new address, or new delivery countries): click I need to update my information and then Open my registration for editing. Your status becomes Corrections requested. Click Edit Submission, update what has changed, and submit the registration again as described in section 7. JEROS then reviews the changes as usual.
You receive a reminder seven days before the deadline and another one if the deadline has passed.
11. Messages to and from JEROS
Below your registration on the dashboard you find Messages: short text messages between you and JEROS Compliance, for example a question about your registration or its status. Attachments cannot be sent here — if JEROS needs documents, you are asked for them in the registration or in a request for information.
- Messages can be up to 1,000 characters.
- Under each of your messages you can see whether JEROS has read it (Read by JEROS <date>).
- You receive an e-mail when JEROS has written to you; the message itself is only shown in the portal.
- JEROS may close the conversation. You can then still read the messages, but not write new ones.
12. Data protection
- What we store. The information you enter in the form (company details, addresses, contacts, directors, owners and UBOs including date of birth, nationality and residential address), the documents you upload, your Export & End-use answers, and a record of each agreement acceptance: the agreement version and its control code (SHA-256), the signatory's name and position, the date and time, and the IP address and browser used.
- Why. JEROS uses the information to carry out the due diligence required by Danish and EU AML, counter-terrorism financing and sanctions rules, as described in the agreement, and to set you up as a customer.
- Documents are kept. For compliance reasons, uploaded documents are never permanently deleted. If you remove a document in the form, it is hidden from your submission but kept on record. Changes to your registration are logged.
- Access. Your registration is visible to you and to authorised JEROS staff. Keep your sign-in details confidential.
